How Classio works

One student record, handled through screens for each role.

Editions for each kind of school, one record per student, roles and permissions, how notices are delivered, integrations and AI — how Classio is put together, and what it does not do.

Four editions for different kinds of school

Editions change the menus and the words on screen; the student record works the same in every edition. Terms can be changed per school.

Each office’s records connect to one student record

Enrolment, attendance, grades, fees, certificates, residence status and careers all connect to the same student record. Accepted applicants carry into student records, locked grades into certificates and reports, attendance into rates and alerts.

Connected does not mean visible to everyone: what each person can see depends on role and responsibility.

Records deliberately kept apart

  • Counselling records are read only by counsellors and social workers and never used by AI or exports.
  • Reasonable-accommodation records are handled only by staff an administrator designates.
  • Addresses can be hidden for students who must not be found; the school decides who sees phone numbers and other personal data, and each viewing is logged.

Each role sees its own screens and actions

Administrators, academic administrators, registrars, admissions, finance, teachers, international office, career office, school nurses, counsellors and more each have defined screens and actions. Students, guardians and recruiters see only what concerns them.

Staff can be limited to campuses, and important actions — grades, admission decisions, fee waivers and refunds, status changes, certificates — are approved by someone other than their creator.

How announcements and notices are delivered

Each notice is delivered in this order.

  1. 1Recorded in the recipient’s notification centre (shown at once).
  2. 2Sent first by browser push or the Classio app to people who receive them there; LINE is skipped when it arrives.
  3. 3Sent by LINE to people who have linked LINE and consented to LINE notices.
  4. 4Switched to email when nothing else reached them.

If the recipient sets quiet hours, LINE and push wait until they end and are never skipped; safety and emergency announcements arrive at once. The school sets up its LINE Official Account and its email sending domain.

Integrations

“Available” means usable now; “After checks” means offered after a contract or checks in the school’s environment.

How AI is used, and where it is not

Classio AI is available to staff and, where the school allows, to students — about their own records only.

What is sent to AI depends on the school’s policy: send no personal data, replace names before sending (default), process with real names in Japan (PROFESSIONAL and above), or process abroad with the school’s consent. Sensitive information such as counselling, health and disability is never sent.

AI helps draft and summarise; it never changes records by itself. Amounts and dates come from the records and staff check before use. Attendance risk forecasts and risk analysis use fixed rules and statistics, not AI.

What Classio does not do

  • It does not replace school-corporation accounting or payroll.
  • It does not submit filings or reports to the state, local government or immigration; the school submits, and Classio prepares the records and lists.
  • It does not make progression, graduation, residence or admission decisions for the school.
  • It never merges schools’ records into one.
