Students' and guardians' phone numbers, addresses and other personal data are shown only to the people who need them, when they need them. On screen the values are hidden; they appear only when you press Show (表示), and each time this is recorded in the access log.
What is hidden and why
Personal data is handled in these categories (情報区分):
Contacts: phone, email, emergency contacts (連絡先)
Address, postal code and workplace (住所・郵便番号・勤務先)
Date of birth (生年月日)
Support needs: health, disability, diet (配慮事項)
Nationality and residence information (国籍・在留情報)
Family situation and enrolment notes: guardians' custody and living arrangement, and the student's enrolment notes (家庭の状況・学籍上の備考)
On the student page's プロフィール tab and in 保護者, these values show as ●●●. A category you may not see is not shown at all.
The student list, guardian list and staff list never show phone numbers, addresses, dates of birth or support needs. The student list has no phone, date of birth or guardian email columns.
What each role sees by default
Unless the school changes the rules:
| Role | Categories they can see |
|---|---|
| Administrator, Academic administrator, Registrar | All |
| Homeroom teacher (担任) | Contacts of students in their homeroom only |
| Subject teacher (教科担当) | None |
| Career advisor (進路担当) | Contacts, date of birth |
| International office (留学生担当) | Contacts, address, date of birth, residence information |
| School counselor (スクールカウンセラー) | Contacts, support needs, family situation |
| School social worker (スクールソーシャルワーカー) | Contacts, address, support needs, family situation |
| School nurse (養護教諭) | Contacts, date of birth, support needs |
| Finance (経理) | Contacts, address |
By default no teacher sees addresses.
Show and the access log
Open the student page's プロフィール tab or 保護者.
Press Show (表示) next to the item.
In the confirmation "Show personal details?" (個人情報を表示しますか?), press Show (表示する). Only that category for that student is shown, and it is recorded in the access log, which the school's administrators can review.
To show every category you may see, press Show all (まとめて表示).
When you are done, press Hide again (もう一度隠す). Leaving the page also hides them.
The guardian list has no phone column. Pressing 電話 shows that guardian's phone number and records it.
Opening the すべて編集 page or a guardian's edit dialog asks first. Press Show and edit (表示して編集する) to load the values, recorded as 編集; on the すべて編集 page, Back (戻る) lets you edit everything except the personal fields (the guardian dialog does not open). Fields in a category you may not see are not shown in the form and cannot be changed.
Prints and exports follow the same rules:
The student register PDF (学生台帳PDF) prints (閲覧権限なし) for categories you may not see.
The call list of guardians who have not read a notice (未確認者の電話連絡リスト, CSV) includes phone numbers and emails only for guardians of students whose contacts you may see.
Emergency access
Sometimes you can open a student but not their contacts or address (for example as a subject teacher, or a homeroom teacher needing the address). The notice above the profile then shows Emergency access (緊急時の閲覧).
Press Emergency access (緊急時の閲覧).
Choose a reason: 所在が確認できない (whereabouts unknown), 急病・けが (sudden illness or injury), 災害・事件 (disaster or incident), 保護者と連絡がつかない (cannot reach the guardians) or その他(理由を記入) (other). For その他, describe what happened.
Press Record and show (記録して表示).
You can see that student's contacts and address for 30 minutes.
Emergency access is recorded, and every administrator is notified at once (LINE, app, email). The notification says who used it and why, without the student's personal data.
Protected address
For a student whose address must not become known, for example under domestic-violence support measures, set a protected address (住所秘匿). Only administrators can set or remove it.
In the notice on the student page, press Protect address (住所秘匿にする).
Optionally write the background and press Protect address (住所秘匿にする). To remove it, press Stop protecting address (住所秘匿を解除).
While the address is protected:
Only administrators can show the address of the student and of their guardians.
Emergency access does not show the address.
The student register PDF prints (閲覧権限なし).
Staff who would normally see addresses see an Address protected (住所秘匿) badge.
Pickup and information restrictions are recorded separately; see Record pickup and information restrictions.
Change the rules
Open Access to personal data (個人情報の閲覧範囲) in the Settings (設定) area and choose the Access rules (閲覧範囲) tab.
Tick or clear each combination of role (対象) and category.
Optionally enter a reason for the change, then press Save (applies from today) (保存(今日から適用)). It is saved as a new version and applies immediately.
Administrators with the System management permission can change the rules.
The 管理者 and サポート rows cannot be changed.
Cells above the limit cannot be opened. Residence information and support needs can never be opened to teachers.
Subject teachers can be given at most contacts and date of birth; homeroom teachers at most contacts, address, date of birth and family situation.
Making the rules stricter is always allowed.
Back to defaults (初期設定に戻す) restores the defaults. Change history (変更履歴) keeps every version. Rules that always apply (常に適用されるルール) lists the rules the school cannot change.
Read the access log
The Access log (閲覧記録) tab lists every show, emergency access and setting change (access rules changed, address protected or protection removed).
Each entry shows the date, staff member, student and purpose: On screen (画面で表示), To edit (編集のため), Print or export (印刷・出力) or Emergency access (緊急時の閲覧).
Filter by All, Shown, Emergency access or Setting changes.
50 entries are shown per page.
For other operations, see Check the history of actions in the Audit log.
