What Is a 学務 System? Academic Affairs vs 校務支援 and LMS
A 学務 system (academic affairs system) handles enrolment, course registration, grades, graduation checks, certificates and fees at universities and vocational schools. How it differs from 教務, 校務支援 and an LMS, and what to check.
In short
A 学務 (academic affairs) system is used by universities and vocational schools to manage enrolment and, around it, course registration, grades, graduation checks, certificates and fees. A 教務 system usually means the course, timetable and grades part of it. A 校務支援 system is the K-12 equivalent, aimed at teachers’ school affairs, with different records.

学務, 教務, 校務支援 and LMS compared
All four handle school information, but they differ in the schools they serve, their main users, their central records and how they are bought. Names and scope also vary by product, so check the records rather than the label.

MEXT’s handbook calls the combination of academic, health, enrolment and office functions an integrated 校務支援 system. 学務 and 教務 have no legal definition.
Main functions of a 学務 system
| Function | What it covers |
|---|---|
| Enrolment (学籍) | Status from admission to graduation, and changes such as leave, return and withdrawal; matching by student number |
| Registration and timetables | Course registration, capacity and lotteries, timetable clashes, credit caps (CAP制) |
| Grades and graduation | Entering and finalising grades, GPA, credits earned against graduation requirements |
| Certificates | Requests, approval and issue of enrolment, transcript and expected-graduation certificates |
| Fees | Invoices, payments, reductions and records for the national study support scheme |
| Portals | Screens where students, faculty and guardians see their own records and notices |
Universities and vocational schools: different priorities
- Unit of study
- UniversitiesCredits, including study outside class
- Vocational schoolsTeaching hours (単位時間) in many departments
- Attendance
- UniversitiesPer course, with follow-up for frequent absence
- Vocational schoolsSecuring teaching hours and attendance rate; for international students also residence status
- Grades and graduation
- UniversitiesCredits per requirement category, GPA
- Vocational schoolsPractical training and qualification records, completion decisions
- After graduation
- UniversitiesDiplomas and certificates
- Vocational schoolsCollecting and publishing job placement
- Disclosure and reporting
- UniversitiesPublishing education and research information
- Vocational schoolsSchool Basic Survey, study support scheme requirements, disclosure for certified practical courses
Check credits and graduation against the university standards, and vocational teaching hours against the vocational school standards and each school’s rules.
What to check when choosing
- Can your academic calendar (semesters, quarters, April and October intakes) be set up as it is?
- Can graduation requirement categories and the counting of credits or hours follow your school rules?
- Who approves corrections after grades are finalised, and how are they recorded?
- Certificate formats and the approval flow before issue.
- Do fees, job placement and international-student records connect to the same enrolment data?
- Can you migrate from your previous system while matching by student number?
In Classio
Classio’s edition for colleges and language schools keeps enrolment, registration and timetables, attendance, grades, certificates, fees, job placement and international-student records on the same enrolment record. For K-12, a separate private K-12 edition handles report cards and cumulative records.
Frequently asked questions
- Is a 学務 system the same as a school management system?
- They overlap heavily. On this site “school management system” is the umbrella term for any type of school, and “学務 system” means the university and vocational-school kind centred on enrolment, registration and grades.
- If we have an LMS, do we still need a 学務 system?
- An LMS handles learning inside lessons and usually not enrolment, grade finalisation, certificates or fees, so the roles differ. Schools typically run both and share class lists.
