Put quotes on the same terms

The same school gets different monthly figures if students are counted differently. Align these first:

Counting day: the 1st of each month, the start of the year, or the contract date?
Students on leave (休学): counted or not?
Non-degree and short-course students: counted?
Graduates: are their records chargeable if kept for certificates?
Admitted students who have not yet enrolled: counted?
Staff and guardian accounts: charged per person?

A cost missing from the price list is not zero

Costs that are not on a price list may still apply. Ask every candidate about these:

Data clean-up: who fixes duplicates and spelling variants, and is it charged?
Checking after import: who reconciles counts and balances?
Training: at launch and when staff change.
External payment and messaging costs: payment fees; email, SMS and LINE sending.
Data export at the end of the contract: format, deadline and any fee.

Classio’s monthly figure is the plan’s base fee plus students above the plan’s included number at the listed rate. It changes when student numbers change.

Cost structure: cloud and on-premises

With cloud services, server operation and updates are usually included in the subscription. On-premises systems add servers, maintenance and upgrades — paid by the school — to the build cost.

Which is cheaper only becomes clear over five years, with operation and maintenance responsibilities aligned.

Start with the work you need and widen the scope once staff are comfortable.
Clean source data before migrating to lighten import and checking.
Fit your practice to standard features rather than commissioning custom work.
Check annual prepayment and similar terms against the five-year total.

Classio pricing

Classio publishes its prices. Colleges, language schools and private K-12 are priced by the number of students, juku and lesson schools by classroom, and licence schools per school (yen, excluding tax).

The number used for billing is the number of people enrolled (在籍中) on the 1st of each month, Japan time. Students on leave, graduates and completers, and admitted students who have not yet enrolled are not counted. Staff and guardian accounts are not charged per person.
