Keep each piece of follow-up work for one international student (residence, documents, attendance) as a case. Use the Cases (対応ケース) tab of International student support (留学生支援) or the International support (留学生対応) tab of Academic operations (学務オペレーション). Administrators, Academic administrators and International office staff use it.

  • Create case (ケースを作成): enter the student, subject, summary, due date, owner and priority. The owner and International office are notified; the student is not.

  • Create a case from each student on Attendance & risk (出席・退学リスク): opens with the student and subject filled in.

  • Create cases automatically (ケースを自動で作成): for enrolled international students, opens a case when one of these applies and no open case of that type exists:

    • the period of stay ends within 90 days or has ended (except renewals applied)

    • no residence card is registered

    • attendance in the last six months is below the school's standard

  • Saving a work-hours week over the limit on Work hours (就労時間) opens a Work permission / hours case automatically; if one is open, the week is added to its history (Record international students' work hours and check the limits).

Press Open (開く) on a case and use Log an action (対応を記録) for the action, contact method, notes and next check date. Change status (状態を変える) moves it between Not started, In progress, Waiting for student, Escalated and Cancelled; the change and its note go into the history.

Press Resolve (解決済みにする) and enter the outcome. Resolved and cancelled cases can't be changed.

Attendance & risk lists enrolled international students for these factors. Attendance leaves out authorized absences such as bereavement leave (Authorised absence).

FactorWhen
Attendance below standardAttendance in the last six months is below the school's standard
Class attendance alertAn alert that one class's attendance fell below 80% is unresolved (separate from the overall rate)
Consecutive absencesA consecutive-absence alert is unresolved
Residence expiring or expiredWithin 90 days of the end date, or past it (except renewals applied)
Open attendance caseAn attendance case is open

The standard is the approved attendance-standard rule in Immigration reports (入管・規制帳票), or 80% without one. It is shown at the top of the tab.
