In Billing & enrolment rules (請求・在籍ルール) the school sets the rules used for billing and for enrolment decisions. Billing rules can be changed by administrators and finance staff; enrolment rules by administrators, academic administrators and registrars.
Rules you can set
Billing rules (請求ルール)
Monthly fee due day: the due date used when a monthly billing run gives none (default: end of month).
Partial payments (new fee items): used when a new fee item does not say whether partial payments are accepted.
Convenience-store payment deadline: days a payment slip stays valid (default: 3).
Family discount rounding: how fractions of a yen are handled when a lesson contract is made (default: round down).
Enrolment rules (入学・在籍ルール)
Address and student phone for full registration: can be made required where the school type leaves them optional. What the school type requires cannot be made optional.
Credits required for promotion and graduation: used when an evaluation gives none (defaults: 40 and 80).
Attendance threshold: below it the evaluation is not eligible (default: 80%).
Leave of absence ending soon: leaves whose planned return falls within this many days are listed (default: 30).
Change the rules
Open Billing & enrolment rules (請求・在籍ルール) in the Settings (設定) area and choose the Billing rules or Enrolment rules tab.
Press Change rules (ルールを変更) and edit the values.
Choose a Start date (適用開始日). Only today or later can be chosen.
Optionally add a note, then press Save new version (新しい版を保存).
From the start date (Japan time) the rules apply to new charges and new evaluations. Charges already issued and evaluations already made do not change.
History
Change history (変更の履歴) keeps each version's start date, what changed and its note. Automatic use of prepaid credit is set on Monthly fees, the maximum years of leave in Curriculum, and the self-entry link validity on Student self-entry.
