You can register students one at a time with New student registration (新規学生登録) in the Student list (学生一覧). Teachers who do not have permission to register students use the same form to Request registration (学生登録を申請); the student is registered once a registrar or other approver approves the request.

Invitation emails, student information requests and portal links after approval open at the school where the student is registered.

  1. Open the Student list (学生一覧) and press New student registration (新規学生登録).

  2. Fill in each step: Personal details (本人情報), Enrollment information (学籍情報), Contact and account (連絡先・アカウント), and Guardian and support (保護者・支援). You can open the steps in any order.

  3. Check the details in Review and register (確認・登録), then press Register student (学生を登録する).

  4. If you chose Student sets it via email invite (recommended) (招待メールで本人が設定(推奨)) for the initial password, the student receives an invitation email and sets their own password.

  • Full name (in kanji and katakana), date of birth

  • Department, admission category, enrollment date, student number (学籍番号), year, previous school

  • For a transfer, advanced entry or readmission, the reason (the previous school and its address are useful for official records)

  • Student's email address

  • Address (universities, vocational schools, and elementary to high schools) and the student's own phone number (universities and vocational schools). The enrolment record needs the address. Cram schools and childcare can leave both blank, unless the school has made them required in Enrolment rules (入学・在籍ルール, Change billing and enrolment rules)

  • Emergency contact's name, phone number and relationship

  • Guardian's email address (different from the student's own address)

Student numbers are not assigned automatically. Enter them according to your school's numbering system. When you enter a guardian's email address, the student is linked to the guardian account if one already exists at the school; for a new address, a guardian invitation is sent.

A student without an address shows "No address on file" on their details and edit screens. Saving is not blocked, but add it as soon as you know it.

The grade becomes available once a department is chosen. Its choices come from the type of school and the department:

  • Universities and vocational schools: up to the department's length (year 1 and 2 for a two-year course)

  • Elementary, junior high and high schools: years 1–6, 1–3 and 1–3 (1–4 for a four-year part-time course)

  • Cram schools: the child's school grade (小1 to 高3, and 既卒)

  • Nurseries and certified centres: age classes 0 to 5 (3 to 5 for kindergartens)

  • Driving schools and training courses: no grade (the field is not shown)

To change it for one department, open Curriculum (カリキュラム) → Grades & classes setup (学年・クラス設定) and choose another kind of grade, or make the department's own list such as 1年生, 2年生, 3年生 and 専攻生. Mark entries that students join by separate admission rather than promotion, such as 専攻生 or 研究生, as Separate entry (別途入学); promotion never moves students into them.

  • Preferred name (通称名): the name used on class lists and registers. Fill it in only when the student or guardian asks. Certificates keep the legal name.

  • Class number (出席番号): the student's number within the class.

  • Type of entry (入学区分): besides a new entry, choose transfer in, advanced entry or readmission. The wording follows your type of school.

Press Save draft (下書き保存) at any point to save your input, even if required fields are empty. You can resume a saved draft from Registration drafts (登録の下書き) in the Student list; only the person who created it can see it. The initial password is not saved in drafts. When the student is registered, the draft is deleted.

  1. A teacher uses Request registration (学生登録を申請) in Assigned students (担当学生), enters the student's information in the same form, and presses Submit request (申請を送信する). Teachers can only request students in their own department.

  2. The approver opens Student registration requests (学生登録申請), checks the details, and presses Approve and invite (承認して招待) or Reject (却下). A review note is optional.

  3. On approval, the student is registered and sent an invitation email. The teacher who made the request is notified of the result.
