A change to a student's enrollment status, such as leave, withdrawal, transfer or graduation, is called a status change (学籍異動). In Classio a status change is requested and approved before the status changes. The student edit screen cannot set or undo leave, withdrawal, graduation and similar statuses.

  1. Open the student page and choose the 学籍変更 tab.

  2. Press 学籍異動を申請 and choose the type. Only the types this student can have are listed.

  3. Enter the effective date, the reason category and the details. Leave needs a planned return date, suspension and study abroad need an end date, and a transfer needs the new school's name.

  4. Press 申請する. The approvers (academic staff and administrators) are notified.

While a change is waiting for approval, no new request can be made for that student. From the 学籍異動 tab in 学務オペレーション you can also choose a student and open this screen.

  • Leave, withdrawal, dismissal, transfer, suspension and readmission are approved by academic staff first, then finally by an administrator. When the school has set an approval flow for record changes, that flow is used instead (Decide your school's approval flows (who approves, and in what order)); in it the person who made the request cannot approve it.

  • Once approved, the status changes at once if the effective date is today or earlier. A future date shows as approved and applies automatically on that date.

  • Withdrawal, dismissal and transfer record an estimated fee settlement; leave stops fees for the leave period; graduation records the graduation date.

  • Repeating a year keeps the student's year and moves the expected graduation one year later. Suspension and study abroad keep the status and show on the 学籍変更 tab while they last.

The type of school and the student's age decide which changes can be requested. Changes that are not available are listed with the reason on the request screen.

  • School-age children in compulsory education (until the first 31 March after they turn 15) cannot be suspended, and there is no leave of absence for them. Long absence is handled in attendance, and deferral or exemption from schooling is a reason for dismissal.

  • Public elementary, junior high, compulsory education and special needs schools cannot withdraw school-age children; use transfer instead. This uses the founding body set in 機関設定.

  • Cram schools and lesson schools see 休会・退会・卒業・再入会, and kindergartens and nurseries see 休園・退園・転園・卒園・再入園.

If a department has a maximum years of study and maximum total leave in 「カリキュラム管理」, the student's 学籍変更 tab warns when they get close. Requests are not blocked.
