Bulk import (一括インポート) lets you register many students at once from an Excel file. Rows with missing information can still be imported, but those students become provisional registrations (仮登録) and are not treated as full students until the missing information is filled in.

  1. Open Bulk import (一括インポート) and press Download Excel template (Excelテンプレートをダウンロード). The template includes your school's departments, classes and courses as drop-down options.

  2. Fill in the students' information in the template.

  3. If needed, enter an Import batch name (optional) (取込バッチ名(任意)), choose the file, and press Check contents (内容を確認). Nothing is registered at this point.

  4. Filter the check results by Errors (エラー), Provisional (仮登録) and Ready (登録可能) to review them. Save rows to check as CSV (要確認の行をCSVで保存) exports the rows that have problems.

  5. Press Register N (○件を登録, where N is the number of rows that can be registered) to register them. To make corrections, press Choose a different file (ファイルを選び直す).

Only .xlsx files can be loaded, up to 5 MB and 500 rows. For CSV or .xls data, paste it into the template first.

  • Rows without a family name, given name or email address are errors and are not registered.

  • Rows missing the student number, previous school, guardian email address or similar, and rows that may be duplicates, become provisional registrations.

  • Rows with all the required information are fully registered, and the student is sent an invitation email. If a guardian email address is included, the guardian is also invited or linked.

  • Student numbers (学籍番号) are not assigned automatically. To register a student fully, fill in the student number, previous school and guardian email address. Rows where these are blank become provisional registrations.

  • Whether the address and phone number are needed depends on the type of school. Universities and vocational schools need the address (postal code, prefecture, city, street) and the student's own phone; elementary, junior high and high schools need the address; cram schools and childcare need neither. The template's 記入方法 sheet shows the rule for your school.

  • The grade can be written as a number (3, 3年, 3年生) or as the department's own name for it (for example 専攻生, 中2 or 3歳児). A grade the department does not have keeps the row provisional.

  • If an invitation email could not be sent to any student, this is shown in the results. The account has already been created, so use Resend (再送) under pending invitations in Invitations (招待管理).

  1. After registering, press Review provisional rows (仮登録を確認する), or choose Provisional only (仮登録のみ) as the display scope in the Student list (学生一覧).

  2. Press Complete information (情報を補完) on a provisional row. A popup opens with the imported data filled in and the steps of New student registration (新規学生登録) across the top. It starts at the first step that still needs input, and the top shows how many items are left.

  3. To stop part-way, press Save as provisional (仮登録のまま保存). Fields the template has no column for, such as gender or residence status, are saved too.

  4. When everything is filled in, check it in the review step and press Register the student (学生を登録する). The student is fully registered, sent an invitation email, and removed from the provisional list.

You can also ask the students to fill it in themselves. In the Student list (学生一覧), in either Official + provisional (正式+仮登録) or Provisional only (仮登録のみ), tick the provisional rows and press Ask selected provisional students to fill in (選択した仮登録に本人入力を依頼). A link for entering their details is sent to every ticked row that has an email address.

Deleting provisional rows (Delete one (1件削除) or Delete batch (バッチ削除)) cannot be undone. The import history and any students who have already been fully registered remain.
